Over the last few years there has been a lot of talk about Global Data Synchronisation (GDS) and the benefits it brings to retail organisations. However, there has been little information available to help suppliers of these organisations learn more about the positive impact this can have on their business. Kewill and Agentrics would like to address this by offering suppliers of retail companies a complimentary GDS infokit which aims to explain the fundamental concept, discusses the wide range of benefits to suppliers, and offers best practice advice on how to implement a successful GDS strategy.

What is Global Data Synchronisation?
First of all, Global Data Synchronisation is not just about technology – it is about people and processes working together to form a highly integrated and collaborative approach to business. Inaccurate data affects virtually everyone in an organisation in some way or another and can mean too much time is spent on non-value added work – the overall impact being reduced profitability. As well as having a negative impact on your business operations, inaccurate data can also have a negative impact on retailer relationships as so much time is taken up discussing clerical and admin issues. But all the “blame” of inaccurate data cannot lie solely with suppliers – if retailer product data is different to that held by the supplier then the ordering, delivery and sale of goods is slowed down considerably.

The concept of Global Data Synchronisation is very simple. It aims to improve the overall accuracy of data held by retailers and their suppliers and then keep this data permanently synchronised in near real time so both parties can use the same data to drive business processes. This is achieved by both the retailer and the supplier using standardised attributes such as product codes, descriptions, colours and sizes. Both retailer and supplier data is sent via GDS – meaning both sets of IT systems will have access to full and up to date product information at all times.

However, the benefits of accurate data synchronisation expand far beyond the efficiencies gained from the data that is transferred. It provides a foundation for mission critical systems which increase sales and significantly reduce expense for both retailers and suppliers.

How can Global Data Synchronisation benefit suppliers?

Reduce inbound and outbound freight costs due to accurate weights and dimensions being used.

Improve productivity within the distribution network from when the delivery leaves your factory right through to being scanned by the back door staff at the retailer (more items scan properly).

Reduce time spent dealing with inaccurate retailer purchase orders (often for obsolete products).

Significantly reduce number of errors in accounting administration so purchase orders are processed quicker, invoices are raised accurately, and forecasts can be believed!

Improve the time it takes for new product introductions due to more streamlined administration activities.

Optimise speed to shelf due to increased efficiency throughout the supply chain.

Improve trading partner relationships because less time is spent discussing clerical and admin issues and more time is spent merchandising.

Increase sales because your sales force are relieved of many admin tasks and free to sell.

Create a global shop window for your company so you can present product information to other retailers who are participating in GDS.
